Refund & Cancellations

Our policy on refunds, cancellations, and project terminations for IT services and software development engagements.

1. Overview

Aiir Technologies & Services Pvt. Ltd. ("Company", "we", "us") is committed to delivering high-quality IT services and solutions. This Refund & Cancellation Policy outlines the terms under which refunds or cancellations may be requested for our services, including custom software development, design, consulting, and other technology engagements.

Since our services are predominantly project-based and involve dedicated resources, time, and intellectual effort, refund eligibility is subject to the conditions outlined below.

2. Project Cancellation by Client

2.1 Before Project Commencement

If a client cancels the project before any work has commenced and no resources have been allocated, a full refund of any advance payment will be issued within 15 business days. An administrative processing fee of up to 5% may be deducted.

2.2 After Project Commencement

Once work has commenced on a project, cancellation is governed by the following terms:

  • The client must provide written notice of cancellation at least 15 days in advance.
  • Payment for all work completed up to the date of cancellation is non-refundable.
  • Any unused advance payment (beyond the value of work completed) will be refunded within 15 business days.
  • All completed deliverables and work-in-progress paid for will be handed over to the client.

2.3 Milestone-Based Projects

For milestone-based engagements, payments made for completed and approved milestones are non-refundable. If cancellation occurs mid-milestone, a pro-rata charge will be calculated based on the percentage of work completed within that milestone.

3. Project Cancellation by the Company

In rare circumstances, the Company may cancel a project due to reasons including but not limited to:

  • Non-payment or consistent delayed payment by the client
  • Failure by the client to provide required inputs, approvals, or resources within reasonable timelines
  • Discovery of fraudulent, illegal, or unethical intent behind the project
  • Force majeure events that make project delivery impractical

In such cases, the client will be liable for payment of all work completed. Any excess advance payment beyond the value of work delivered will be refunded.

5. Quality Disputes & Revisions

If a client is dissatisfied with the quality of deliverables, we offer a structured resolution process before any refund is considered:

  • The client must raise specific, documented concerns within 7 days of deliverable submission.
  • We will provide up to two (2) rounds of revisions to address the concerns at no additional cost.
  • If the issues remain unresolved after revisions, a partial or full refund may be considered at the Company's discretion based on the nature and extent of the shortfall.

6. Non-Refundable Services

The following services are non-refundable once delivered:

  • Consulting and advisory sessions (strategy, architecture, technology consulting)
  • Research, discovery, and requirement analysis phases
  • Third-party licenses, subscriptions, or purchases made on behalf of the client
  • Domain registrations, hosting fees, and SSL certificates
  • Digital marketing campaigns after they have been launched

7. Refund Process

  • All refund requests must be submitted in writing to [email protected] with the subject line "Refund Request — [Project Name]".
  • Requests will be reviewed and a decision communicated within 7 business days.
  • Approved refunds will be processed within 15 business days via the original payment method or bank transfer.
  • Refund amounts will be calculated based on verified work completion and resource utilization.

8. Modifications to This Policy

We reserve the right to update this Refund & Cancellation Policy at any time. Changes will be posted on this page with an updated "Last Updated" date. For ongoing projects, the policy in effect at the time of project initiation will apply unless otherwise agreed.
